1. Who is responsible for your information
South Coast Auto Solutions Limited is the data controller for personal information collected through this website. Company number 09290090. Registered office: Unit 2a Railway Triangle Estate, Dorchester, Dorset, DT1 2PJ. Trading address: Unit 7-9 Oxford Court, Cambridge Road, Granby Industrial Estate, Weymouth, Dorset, DT4 9GH. You can contact us on 01305 458184 or info@southcoastautosolutions.co.uk .
2. What information we collect
If you send a website enquiry, we collect the information you choose to provide, which may include your name, email address, telephone number, subject, message and a reference to a vehicle you are asking about.
For website security and reliable operation, our server temporarily processes technical information such as an IP address, request time and request details. Our hosting provider may also create security and access logs as part of operating the website. We do not use this information for advertising or behavioural profiling.
This website does not collect payment-card details, finance applications, advertising identifiers or analytics profiles.
3. Why we use personal information and our lawful bases
Responding to enquiries and arranging services or vehicle discussions: we use the details you submit to take steps at your request before entering into a contract and, where appropriate, to perform a contract.
Running and protecting the website: we use limited technical information for our legitimate interests in preventing abuse, securing the website, diagnosing faults and keeping the service available. We balance those interests against your rights and keep this processing proportionate.
Legal and business records: where we must retain or disclose information to comply with law, tax, accounting, regulatory or legal obligations, we rely on the applicable legal obligation.
Submitting the enquiry form does not sign you up to marketing. If we introduce electronic marketing in future, we will use a separate compliant process and provide an opt-out.
4. How long we keep website enquiry data
Website enquiry records in the live database are automatically deleted after 180 days. The website performs this check regularly, not only when the administration area is opened. Enquiries already copied into another legitimate business record, such as an invoice, workshop record or legal or accounting record, may be retained separately for the period required for that purpose.
Database backups are stored in private backup storage and retained for up to 14 days. This means an enquiry deleted from the live database may remain in a backup for a short additional period before that backup is automatically removed.
Short-lived IP-based rate-limit entries are held in server memory only for the relevant anti-abuse window and then cleared. Hosting security logs are retained according to the hosting configuration and should be limited to what is necessary for security and operation.
5. Who may receive your information
Website enquiries are not available through a public API. Access is restricted to authorised South Coast Auto Solutions personnel through the private administration area. We may also use carefully selected hosting, infrastructure, transactional-email delivery, IT-support and professional-service providers acting on our behalf. When website email notifications are enabled, the enquiry details are sent through the configured transactional-email provider solely to deliver the notification to our business inbox. We may also disclose information where required by law, regulators, courts or law enforcement bodies.
We do not sell website enquiry information to advertisers or data brokers.
6. International transfers
The website does not load third-party analytics, advertising pixels or social-media tracking scripts. If a supplier involved in hosting or supporting the service processes personal information outside the UK, we require an appropriate UK data-transfer mechanism or other lawful safeguard where one is required.
7. Security
We use measures designed for the limited personal information handled by this website, including HTTPS in production, server-side secrets, an authenticated administration area, secure HttpOnly session cookies, CSRF protection, same-origin checks, rate limiting, request-size limits, security headers, restricted public file access, automatic retention controls and database backups. No internet service can guarantee absolute security, so these controls are reviewed when the website or its suppliers change.
8. Your data-protection rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to the use of your personal information, and in some cases to receive information in a portable format. You can make a request using the contact details above. We may need to confirm your identity before acting on a request.
You can also complain to the Information Commissioner's Office. See the ICO complaints information .
9. Automated decisions
This website does not use website enquiry information to make automated decisions about you or to profile you for advertising.
10. Cookies and similar technologies
See our cookie policy . The public website currently uses essential storage only and does not install analytics or advertising cookies.
11. Changes to this notice
We review this notice when our website, suppliers or data-handling practices materially change. The date at the top shows the current version.
